HOW DO I MANAGE USER ROLES AND AFFILIATES?
This article covers how to add users to your back office, manage your affiliate partners, and set up commission structures. Whether you are onboarding a new staff member, adding an affiliate, or updating how commissions are tracked, everything starts from the same place. In this article, you will learn:

Add User (Roles)
The Users section is where you add everyone who needs access to your back office or client-facing site; staff members, service providers, and affiliates. The role you assign determines what each person can see and do.
- Navigate to Users from the left sidebar.
- Select Add User in the top right corner.
- Enter the user’s details: first name, last name, email address, phone number, date of birth, and gender.
- Under Role(s), select the appropriate role for this user. Common roles include Business Admin and Affiliate.
- Select Save. The user now appears in your Users list and will receive an invitation in their mail to log in.
Understand User Roles
When you add a user, the role you assign controls what they can see and do inside the platform. Assigning the wrong role is the most common setup mistake, so review the options below before adding anyone.

| Business Admin | Full back office access. Can manage all settings, users, orders, and products. | |
| Client | Client-facing access only. Used for clients who need a direct account on the platform. | |
| Receptionist | Back office access for day-to-day management. No access to earnings or financial data. | |
| Affiliate | Access to their own affiliate dashboard, referral link, and commission history only. |
Manage Affiliates and Commissions
Once an affiliate has been added, you configure their commission type and referral method from inside their profile. There are two commission types available depending on how you want to track and reward their activity.
- Navigate to Users from the left sidebar.
- Locate the affiliate in the list and click the Edit icon.
- Scroll to the Affiliate section at the bottom of the profile page.
- Choose your commission type: Business Commission generates a unique referral URL and QR code for the affiliate. Coupon Commission links the affiliate to an existing discount code.
- For Business Commission: the referral URL and QR code are generated automatically. The affiliate receives an email notification with their login details once their account is created. They log in to your customer-facing booking site, where they can access their Affiliate dashboard, view their unique referral link and QR code, and see any coupons linked to their account.
- For Coupon Commission: select the coupon from the dropdown. The coupon must be created first under Marketing > Coupons before it can be assigned here.
- Select Save.
Good to know
There are two affiliate commission configurations available:
A Standard Affiliate earns commission through a referral URL, QR code, or coupon.
A Royalty Affiliate configuration is used for parent companies or franchise groups.
NOTE: It is not a separate user role.Important: Royalty Affiliate commission scope
This setting overrides all other affiliate links. Once enabled, the Royalty Affiliate earns a commission on every booking.
